IQ.Session® Student Clinical Rotation Scheduling Specification

This paper summarizes the methods IQ.Session uses to assign students to clinical rotations. The methods are (1) a pure “lottery”, (2) a lottery with period and site reassignment, and (3) a type (2) lottery with student swapping. Methods (2) and (3) imply student course preferences take precedence over the student preferences for rotation periods and rotation sites, but should increase the number of students scheduled on the first pass. The latter options do not guarantee a complete schedule, since some courses can be over-subscribed. Methods (2) and (3) would be chosen to reduce the need for multiple lottery “rounds” and to shorten the scheduling cycle.
Scheduling Process
The scheduling process will consist of the following steps:
- An Academic Schedule will be prepared for the coming year showing holidays and start and end dates for standard rotation periods (see Att A).
- An administrator will place each student in a curriculum for the coming year.
- Curriculum requirements will be noted.
- A Clinical Block Schedule for the coming year will be created, identifying the rotation periods each clinical course is to be offered (see Att B) and the site alternatives.
- Each student submits a Personal Block Schedule using a web form for the coming year or term (see Att C). This represents each student’s ideal schedule, drafted without consideration for capacity constraints or preemption limits in any “general” clinic the student may be required to staff. The web program will edit each submitted form to meet pre-requisite and minimum curriculum requirements.
- Upon submission, the preferences will be saved in the Student Course Sections (sic) table in the IQ.Session database. Required courses and course priorities will be noted.
- The IQ.Session Course Scheduler is run; courses are scheduled in priority sequence, using the IQ.Session proprietary scheduling heuristic. Students are assigned to rotation periods and sites based on their preferences and availability. In the case site capacity during a rotation period is exceeded, students will be assigned based on curriculum requirement, priority, previous bumps and random choice, in that sequence. If Method (2) is chosen, students not scheduled in their preferred rotation site and period can be automatically assigned to an alternative site and / or period where capacity is available. The reassignment would be done in the indicated sequence. If Method (3) is chosen, students may be “swapped” out after initial scheduling. In this case, the final schedule will fill each rotation to capacity or the demand limit, whichever is less; however, the number of students getting their preferred schedule may be reduced.
- Preliminary student schedules and course schedules are published. The course schedule report shows actual and maximum enrollment for each rotation. Students may download these schedules using a web request. Schedules are published in PDF format. An Administrator may alternatively email schedules to students and department heads.
- After review, students may submit add / drop requests. However, change requests would not be permitted.
- Add / drop requests would be processed in the same manner.
With the exception of the web request and web submittal pieces, the current release of IQ.Session can accommodate all three methods discussed above and can support this process. The web pieces are scheduled for release in Q3 2006.
