1.  What reports does HC Tracker generate?

HC Tracker generates a full range of audit reports.

The Rotation Report can be run for any date range.  The Rotation Reports also permit the use of any or all of the following filters:  Sponsor; Designated Area; Site Designation; Discipline; Ethnicity; County and Rotation Length.  Additionally, the information may be grouped by Site Designation, Student or Discipline.

Program Reports may also be generated for any date range.  The Program Report permits the use of any or all of the following filters:  People Type; Program Type; Discipline; County; AHEC Center or Status.  The report may be grouped by Program Type, Participant or Discipline

The Employment Trends Analysis filters by People Type (Administrator, Faculty, Preceptors, etc.), Designated Areas, and/or Disciplines.  Any number of years may be included.

The NHSC Vacancies Report, if desired, can be filtered by City and/or County.  There is also an option to include the filled NHSC jobs.

The Federal Reports include UPR Reports (Tables 13 through 17), NGAR (Tables 1, 1-A, 2, 2-A, 3, 3-A, Ten Percent Report) and CPMS (Tables 1-A, 1-B, 1-C, 2, 3, 4-A, 4-B, 4-C).

2.  Can HC Tracker handle jobs at sites?

Yes.   This function can be handled in two ways.  Each site may hire anyone directly to create an employment record for the person and the site.

In the second method, Sites post their job openings, People search for jobs, and HCT will match a Job to a Person.  By assigning a candidate to a job opening, the following events occur:

• All other Job Candidacies for this person are removed;
• An end date is posted for the job in the Job Candidate window;
• The Job Opening information for the site changes to Closed status;
• The candidate is added as an employee to the site;
• The Job is added to the Employment History of the candidate.

3.  Can HC Tracker handle multiple sites to accommodate distance learning?

Yes.  Any number of sites may be added to a program for distance learning.

4.  Does HC Tracker include any function to manage follow-up contacts?

Yes.  HCT allows for any number of contacts or recruiters.  Contact type, date and notes are easily noted.  There is also a space to enter the next contact date.  In addition, on the calendar shown to you as you first login to HCT, any date that has a contact due is shown in blue.  HCT also has a Contact Schedule screen allowing entry of any date, past, present or future. The contacts for that date are displayed.

 5.  How does HC Tracker track Programs and Rotations held at sites?  

All Programs and Rotations held at a site are displayed on their respective screens.  All pertinent information about the Programs and Rotations are contained on the different tabs.

6.  How are People tracked in HC Tracker?  

HCT keeps track of the person's employment, education, programs attended, presentations given, and preceptorships.

7.  Will I have to reenter my current AHEC Track data into HC Tracker?

No.  HC Tracker includes a built-in process for migrating your current AHEC Track data to the new HC Tracker database.  To access this function, select Updates/Data Transfer from the main Navigation screen..

8.  Does each user machine have to be unlocked?

HC Tracker does not require each user machine to be unlocked as AHEC Track did.  Licensees of AHEC Track Enterprise Edition will receive a license file to install on their central network which will allow a number of concurrent users equal to their license size.  Current licensees of AHEC Track Standard Edition will receive a license file for each local network.

9.  How do I import and export data?

HCT includes data import and export functionality.  You may import from or export to spreadsheets, delimited text and fixed width text files.  You may click a drill down button to specify your fixed width file layouts on the fly.

10.  How do I change my database from live to tutorial?

In the Updates section, a screen allows the user to re-link tables and switch databases automatically.
